Email Services

The use of the Email services is governed by the University's "Policy on Use of IT Services and Facilities", "Regulations on IT Services and Facilities (2): Campus IT Network", and "Regulations on IT Services and Facilities (1): CityU Electronic Mail" approved by the Committee on Information Services and Technology on 16 April 2007.

The University provides email services to all CityU current staff, students and alumni. Email Accounts are automatically generated for them according to their staff, student and alumni statues. All official Email communication of the University will be made through these accounts.

  • University Email Accounts for staff (with email domain name are hosted on a Microsoft Office 365 (hereafter referred to as Office 365) cloud messaging system offered to education sector by the Microsoft.

  • University Email Accounts for students (with domain name are hosted on another Microsoft Office 365 cloud messaging system. When the students graduate from a CityU award bearing programme and becomes CityU Alumni, they can continue to use the same email address and account as their CityU Alumni email contacts.

  • University Email Accounts for Alumni are the same Office 365 email accounts used when they were students previously (with domain name, and they will continue to use the same email address and account as their CityU Alumni email contacts after they graduate. The students who graduated before February 2013 and were given the alumni email accounts hosted on the Oracle/Sun Java System Messaging Server (JSMS) system (with domain name will be migrated to the Office 365 system (with domain name by phase.

For teaching/learning and for supplementary uses, the University also provides Google Apps Educations Edition ( as an optional email service to staff and students.

GApps Email account is provided to current Staff and Students only and will be removed when the account owner is no longer a CityU staff or student. Register for GApps.

All official correspondence from the University will be sent to users’ University Email accounts only. The GApps Email account is provided for non-commercial personal use. Users may forward their email to the latter account at their own discretion while taking note of protecting sensitive information.
