FAQs on Retirees Email Service (RES)
Retirees as defined below may apply for email service subject to the University's review and approval:
Retirees refer to retiring staff who leave the University employment on normal or early retirement fulfilling any one of the following conditions:
- Staff appointed on superannuable terms, gratuity-bearing substantiated or continuous terms, and have attained the retirement age as defined in the staff member's employment contract, i.e. 65 or 60 (staff joined the University before 1 January 1990 and have elected or deemed to have elected to retain age 60 as retirement age). ["Normal Retirement"]
- Staff appointed on superannuable terms, gratuity-bearing substantiated or continuous terms, and permitted by the University to go for early retirement at the age of 55 or above. ["Early Retirement"]
Q. I am a retiree and eligible for the Retirees Email Service (RES). What are the details of it?
Below are some of the important information regarding the RES:
- Eligible retirees with 20 years' service or more under their appointment on regular terms will retain the email address of "@cityu.edu.hk".
- Eligible retirees with less than 20 years' service under their appointment on regular terms will be provided with an email address "@friends.cityu.edu.hk".
- A retiree with RES is required to activate his/her email account on "@friends.cityu.edu.hk" by creating a password of his/her choice through the link "Activate Retirees Email Service" under the Retirees tab of the the Email Services home page. The activation is not required if the email account is on "@cityu.edu.hk".
- A RES takes on the notation "<EID>@friends.cityu.edu.hk" or "<EID>@cityu.edu.hk", where "<EID>" is the CityUHK Electronic ID (EID).
- The RES can be accessed through the Email Services home page.
- If the account is not used for more than 1 year, it will be disabled. If it is not used for more than 3 years, the account will be considered no longer required by the retiree and it will be deleted permanently. Emails therein, if any, will be removed from the system immediately.
- All emails sent from the RES, including replies and forwarded email, will contain the following disclaimer of the University:
"This courtesy email account is provided to the retiree of City University of Hong Kong (CityUHK). This email (including any attachments) does not represent CityUHK in any manner. This email is intended for communications on personal capacity and is used for the intended recipient only."
- The RES on "@friends.cityu.edu.hk" is provided through Google Workspace for Education, which is a suite of communication and collaboration applications, while the RES on "@cityu.edu.hk" is provided through Microsoft M365. The provision of "@friends.cityu.edu.hk" account is subject to University's review and approval, and it shall be granted at University's discretion based on operational requirements and prevailing policies.
- The RES storage limit is 20GB.
- All emails, My Calendars, My Contacts and My Tasks of the RES on "@cityu.edu.hk" will be cleaned up on the first day of retirement. All M365 apps except Email will be terminated. All OneDrive files will be removed permanently.
