Sample of Undertaking (for staying in Student Residence)

  1. Make sure you have read and accepted the Regulations and Rules of Student Residence (SR).
  2. Within the 1st week after check-in
    Check the inventory in the assigned room/bed, then report any malfunctioning/damaged items or additional cleaning/pest control as required. On-loan cleaning utensils are available at the security counter on the G/F of the hall.
  3. During residence
    1. Use the bed/provision in the bed-study room in SRO's official record. Each bed-study room is designated for students of the SAME gender. Illegal occupancy exceeding the designated number of residents in the bed-study room (single/double) is strictly prohibited.
    2. Permit the authorized University staff (including outsourced personnel) to use resident's data for official purposes and enter any rooms for legitimate reasons with or without prior notice and whenever necessary for upholding hall safety and security, cleaning/repair works, enforcing Regulations and Rules, as well as for the orderly operation of the Student Residence.
    3. Comply with the Regulations and Rules, in particular, the Visitors' Policy, No Smoking Policy, fraudulent or illegal use of the student identity card as well as refraining from creating any kind of disturbance or inconvenience to other residents. Note this Undertaking takes effect for the whole residential year and violation of any regulations/rules may result in hall disciplinary action such as hall suspension.
    4. Comply with Policies on Fees & Payments and settle the hall lodging fees according to the instructions.
    5. Be MINDFUL of personal safety, security and psychological health by:
      1. Being vigilant against scam calls.
      2. Completing the " CASH (Committee Against Sexual Harassment) Online Training Module" in the Canvas.
      3. Updating emergency contact information in AIMS.
      4. Being accountable for the keycard and following the Security Control Policy.
      5. Being fully responsible for personal belongings (using a padlock installed on the pedestal inside the bed-study room).
      6. Seeking pastoral care from Residence Master/Tutors at all times on any adjustment or personal disturbance, other than seeking help from SDS counsellors.
    6. Vacate the bed-study room upon termination, suspension, leave of absence, study interruption, withdrawal, change of funding source, completion of their studies, visa expired, exchange programmes or any cases that result in inactive / part-time student status.
  4. Tenancy Agreement
    Residents are required to terminate the lease/contract with external party if any in a lawful manner before you move in. Any undue withdrawal from the lease might tangle the students into a dispute/lawsuit and Student Residence Office reserves the right to rescind the hall offer in such circumstance.
  5. Check-out

    The resident shall vacate his/her bed-study room, complete due check-out procedures, including but not limited to clear all his/her belongings, restore the furniture setting to its original state, remove rubbish in the bed-study room and return the keycard to SRO. Penalty charges will be levied for late or improper check-out.

    The University reserves the right to vacate any Student Residence under special circumstances as deemed appropriate. Residents are expected to strictly follow the arrangements as required.
