Award Certificate and Commencement

Award Certificate

Award certificate is an official credential issued by the University for each academic qualification conferred by the University. The award certificates will be ready for collection normally in March (for graduates in Semester A), July (for graduates in Semester B) and November (for graduates in Summer Term). Graduates will be informed by email of the start date, time and venue for collecting their award certificates.

Graduation Date

The date to be printed on the award certificates will be the graduation date of the students’ graduating semester/term. 

The graduation date of individual students is determined by students’ own study progress. Students who complete their graduation requirements in a specific semester/term will have the corresponding graduation date of that semester/term. Students should plan their studies ahead to fulfill their graduation requirements in their preferred semester/term. After fulfilling all their graduation requirements, students will not be allowed to defer their graduation to a later semester/term.

The University’s graduation dates for 2023/24, 2024/25 and 2025/26 are as follows:

Documents Required for Collection

If collected by yourself in person:

  • Collection email
  • Your CityU Student Identity Card/HKID Card/passport

If collected by your authorized representative:

  • Collection email
  • HKID Card/passport of your authorized representative
  • For authorization submitted through AIMS (following the steps here)
    • The email notification for your authorization 
    • A photocopy of your CityU Student Identity Card/HKID Card/passport with your student number and programme code written on it (This document will be returned to your authorized representative after inspection.)
  • For written authorization
    • An authorization letter signed by you (letter template is available here)
    • A photocopy of your CityU Student Identity Card/HKID Card/passport with your student number and programme code written on it (This document will be returned to your authorized representative after inspection.)

If delivered by registered mail*:

  • A completed application form
  • A photocopy of your HKID Card/passport
  • Application fee (HK$50 for local address / HK$100 for mainland address / HK$120 for overseas address)

* As the award certificate will be sent to you by registered mail via Hongkong Post, no P.O. Box address will be accepted. The University will not be responsible for any mishandling of mail and no replacement award certificate will be issued.

Clearance of Outstanding Matters before Collection

Students must clear all outstanding matters with the University (e.g. tuition fees, Library fines/books, student loans, etc.) before collecting their award certificates. Students who have not cleared all outstanding matters will NOT be allowed to collect the award certificate.

Deadline for Collection

It is the University's policy to retain award certificates for collection up to 31 December of the following year after graduation (e.g. for 2022 graduates, the deadline for collection is 31 December 2023). After that date, all uncollected award certificates will be confidentially disposed without any further notice.

If you wish to be issued an award certificate afterwards, you will need to apply for a replacement award certificate with a fee at the prevailing rate (currently HK$500) as published in the University's website. Please click here for the procedures for applying for a replacement award certificate.

Replacement Award Certificate

The award certificate issued by the University is a unique document. A graduate is only permitted to retain ONE award certificate, including replacement award certificate, for each academic qualification he/she is conferred by the University.

Graduates may apply for a replacement award certificate under the following circumstances:

  • permanent loss or damage of the original award certificate;
  • update of name in the case of a legal name change; or
  • original award certificate was not collected within the period prescribed by the University.

Fees Chargeable

The application fee for each replacement award certificate is HK$500.

College/School Commencement 2024

The University is pleased to announce that the College/School Commencement 2024 will be held during 12-21 June 2024 on campus. Graduates of Summer Term 2023 and Semester A 2023/24, as well as students who are expected to graduate in Semester B 2023/24 will be invited to attend the Commencement. Potential graduates of Semester B 2023/24 whose academic award cannot be confirmed by 3 June 2024 will be excluded from the Commencement 2024 and will receive an invitation again for the appropriate year of Commencement.
