Important Notes

  • The University reserves the right to withhold issuance of academic document to an applicant who has unpaid fees/other monies owed to the University, or who has failed to discharge all obligations towards the University, or upon the advice of the applicant's home academic unit.
  • Applicants who want to have their Academic Transcripts/Testimonials/Letters of Certification sealed should indicate in their application. Sealing service will not be provided retrospectively upon collection. It is the applicant’s responsibility to put down accurate and legible address on the envelope used for sealing the academic document.
  • For online application for Academic Transcripts/Testimonials and Letters of Certification, an email with a request number will be sent to you to acknowledge receipt of your application. You may also refer to the application page for the successful application and its application status (applicable to Testimonials and Letters of Certification). The academic document will usually be ready for mailing within 3 and 5 working days respectively.
  • For paper application, please submit the completed form with the original receipt of the required fee payment by post or in person to the ARRO Service Centre.
  • For applications (only applicable to Academic Transcript, Testimonial, or Certify True Copy) made in person at the ARRO Service Centre, the academic document can normally be collected on the day of application. If the application is made by post, please allow 7 working days for processing.
  • Please allow extra processing time during peak periods (e.g., after examinations, before the new academic year).
  • Academic Transcripts/Testimonials/Letters of Certification sent by post will be made by ordinary mail for local recipients and regular air mail for overseas recipients by Hongkong Post. If registered mail is required, additional postal fee will be charged and no P.O. Box address will be accepted. CityU will not be responsible for any mishandling of mail. If additional documents are required to be sent with the Academic Transcripts, applicants should apply by post or in person instead of applying online.
  • Applicants who wish to apply for/collect academic documents by authorising a representative may submit an authorisation request via AIMS [Student Record > My Applications > Authorisation Letter] or an authorisation letter template. Please refer to the ‘Authorise Representative” button for details.

Authorise Representative

Applicants may authorise a third party to submit the application and collect the documents on their behalf by the either of the following means:

  1. Online Authorisation Request
    1. Applicant to submit an authorisation request online via AIMS [Student Record > My Applications > Authorisation Letter];
    2. Representative to provide the counter staff at the ARRO Service Centre with the applicant’s student ID/HKID number and HKID card or passport of the authorised person on spot to verify the authorisation records.

  2. Paper Authorisation Letter
    Representative to provide the following documents on spot:
    1. The application form for the document (for submitting application only);
    2. An authorisation letter signed by the applicant;
    3. A copy of the student identity card/HKID card/passport of the applicant (returnable to the authorised person after inspection). Electronic copy acceptable; and
    4. HKID card or passport of the authorised person for verification.

Personal Information Collection Statement

  1. The personal data provided in an application form will be used for processing the application. Failure to provide complete and accurate information may render the University unable to process the application.
  2. The information provided may be disclosed/transferred to relevant academic units/administrative offices within the University for consideration and/or necessary actions.
  3. For non-local students, changes in student record may also be disclosed/transferred to relevant Government bodies, such as the Immigration Department, if deemed necessary.
  4. After the application has been processed, relevant data will be transferred to the student record system of the University
  5. After submission of this form, requests for access to and/or correction of the personal data should be made to the Academic Regulations and Records Office.
