Application for Academic Transcript

An academic transcript is a certification of a student's record of academic performance at the University. A complimentary copy of the academic transcript will be issued to students who have completed a degree/programme. At any time, students may apply for a copy with fees.

Notes for Applicants
1. Academic transcripts issued will only include available course grades and/or award classification approved by the College/School Deans.
2. Applicants who want to have their academic transcripts sealed should indicate their requests in the application. Sealing service will not be provided retrospectively for Academic Transcript(s) that have been collected. It is the applicant's responsibility to put down accurate and legible address on the envelope used for sealing the academic transcript.
3. A paper application is essential if you need our assistance in uploading the academic transcript(s) to the World Education Services (WES). Please mark your request clearly on the application form (if applicable).

4. The University reserves the right to withhold issuance of an academic transcript to an applicant who has unpaid fees/other monies owed to the University, or who has failed to discharge all obligations towards the University, or upon the advice of the applicant's home academic unit.

Application Procedures

Online Application (HK$40/copy)

An email with a request number will be sent to you to acknowledge receipt of your application. The academic transcript(s) will be ready for mailing within 3 working days. Please allow extra processing time during peak periods (e.g., after examinations, before the new academic year). 


Paper Application (HK$60/copy)

  • Please complete the application form and submit it with the original receipt of the required fee payment by post or in person to the ARRO Service Centre.
  • For applications made in person at the Service Centre, the academic transcript(s) can normally be collected on the day of application. If the application is made by post, please allow 7 working days for processing.
  • Please allow extra processing time during peak periods (e.g., after examinations, before the new academic year).
Academic transcripts sent by post will be made by ordinary mail for local recipients and regular air mail for overseas recipients. If registered mail is required, additional postal fee will be charged and no P.O. Box address will be accepted. CityU will not be responsible for any mishandling of mail. If additional documents are required to be sent with the academic transcripts, applicants should apply by post or in person instead of applying online.

Applicants may authorise a third party to submit the application and collect the academic transcript on their behalf with the following documents:

     a.  The application form for academic transcript (for submitting application only, not required for collection of      academic transcript); 
     b.  An authorisation letter signed by the applicant;
     c.  A copy of the student identity card/HKID card/passport of the applicant (returnable to the authorised person after inspection). Electronic copy acceptable; and
 
     d.  HKID card or passport of the authorised person.
