Terms & Conditions

 

In applying for Summer Residence 2023, I acknowledge that I have read the terms and conditions set out below and I agree and undertake to abide by them.

 

Part 1 — Special message to applicants

 

1. Construction works in the Circular site outside Hall 3 & around Tat Hong Avenue will be carried out throughout the whole residential year. Noise/vibration within statutory requirements are expected.

2. [VERY IMPORTANT] Residents are required to vacate their rooms if their student status have been changed on AIMS, e.g. Inactive due to graduation and leave of absence, please refer to Regulations Governing Student Residence 2.4 for details. The paid hall lodging fee will not be refunded. Hence, you shall plan carefully before submitting your application.

 

Part 2 — Basic Application Information

 

Application Period

13 - 18 April 2023

Residential Period

For Current Residents

  1. Normal Period*:
    22 May 2023 to 7 August 2023, 12 noon (11 weeks)

  2. Special Period (only for current residents who will graduate in June 2023):
    22 May 2023 to 5 June 2023, 12 noon (2 weeks)
    *Reminder to graduates in June 2023:
    If you choose Normal Period, once your AIMS status is changed to "Inactive due to graduation" during your stay, you are required to vacate your room within 3 days and the paid hall lodging fee will not be refunded.

For Non-current Residents

  1. Normal Period:
    29 May 2023 to 7 August 2023, 12 noon (10 weeks)

Reminder to all students:
Residents are required to vacate their rooms if their student status have been changed on AIMS, please refer to Regulations Governing Student Residence 2.4 for details. The paid hall lodging fee will not be refunded.

Eligibility

Full-time Student in Government funded Bachelor's Degree Programmes
*Non-current residents, who will graduate in June 2023 are not eligible for Summer residence

Priorities

With limited bedplaces, there is no guarantee that bedplaces will be granted to all applicants. When the demand surpasses supply, bedplaces will be offered by lottery.

"Current residents" and "non-current residents with previous hall experience" admitted subject to availability and recommendation of Residence Master concerned.

For non-current residents, priorities go to:

  1. Graduating UG students (in Oct 2023) without previous hall experience;
  2. Non-local UG students remaining in HK for internships and related works

General Information

  1. Applicants must submit their applications via AIMS before the deadline specified by the Student Residence Office. Late / incomplete applications will not be entertained.
  2. Applicants are allowed to modify the application form before application deadline. After application deadline, requests of any changes will not be accepted.
  3. All information provided in the application must be true and accurate. Submission of inaccurate information will lead to immediate disqualification and removal from the hall, and their residence applications will not be accepted throughout their entire study period. All fees paid will not be refunded.
  4. The approved period of stay is non-extendable.
  5. Summer hall offer is made provisional. The Residence Master/Student Residence Office reserves the rights to rescind the provisional hall offer out of prospective resident's misconduct. With limited bedplaces, there is no guarantee that bed spaces will be granted to applicants.

The above charge rates are subject to annual review and revision.

*You can check your student type and cohort in AIMS.

**The period of stay is non-extendable.

 

Successful applicants will receive a notifying email and are required to pay in advance the FULL hall lodging fee when confirming the bedplace offer in the period specified by the Student Residence Office. Applicants can settle the payment by online payment. Amount in your student account cannot be used to offset the hall lodging fee of summer residence.

 

All charges paid are non-refundable and non-transferable. There is NO refund if you withdraw or check-out earlier after the confirmation of bedplace offer.

 

Only those residents with hall offer in 2023/24 can opt to extend their stay up to the commencement of residential year 2023/24. Email will be sent to those residents with 2023/24 hall offer in due course.

 

Part 4 — Room Assignment and Room Moving

 

  1. SRO has the right to arrange room moving exercise subject to operational need.
  2. The maintenance project of Hall 4 and Hall 5 will commence in the summer of 2023. Residents of Hall 4 and Hall 5 will be assigned to rooms of other halls.
  3. Certain floors in each hall will be reserved for summer letting/ room inspection.
  4. The summer floors may be changed based on the summer applications of current residents in respective hall.
  5. In order to protect student residents' privacy and their residence life, the summer floors tentatively designated for students for each hall are as below:

  1. For the avoidance of doubt, please note that even after the students have moved into the rooms assigned to them for summer residence, the Student Residence Office and/or Residence Masters reserve the right at any time to re-assign them to other rooms.
  2. If you are staying in a double room without a roommate, please keep the place and another bed clean and tidy, and be prepared for the check-in of your new roommate at any time. No further notice about the exact check-in date and time of your new roommate will be issued.
  3. Request of room change/swapping and hall/ roommate preferences will not be entertained in the summer period.
  4. Student Residence offers shared double rooms and limited number of single rooms (all rooms are shared washroom). Students will be normally assigned to double rooms. The small number of single rooms will be firstly assigned to those who have medical reasons or special needs with supporting documents enclosed in the completed application.
  5. For those current residents who are required to perform room moving from 31 May 2023 to 11 June 2023 (move by batch within designated period):
    • You are required to check out of the current rooms that you are residing and move into the rooms assigned for Summer Residence 2023 in the room moving exercise.
    • If you are not able to check-out or move into the room concerned in person, a written and signed authorized letter by the authorized person (including the full name and Student ID No./ID number/passport number of the authorized person) must be provided to Student Residence Office within the designated moving period on your behalf.
    • If residents cannot complete room moving within the time specified, the penalties will be levied.

Part 5 — Check-in

  1. All residents MUST complete the Pre Check-in procedure and obtain the "Check-in PassCode" on the day of arrival in SR for check-in.

Part 6 — Check-out

  1. The paid hall lodging fee is non-refundable and non-transferable on all conditions, even check-out from Student Residence earlier.
  2. Students should comply with the check-out procedures as stipulated. Otherwise, penalty will be imposed.
  3. Residents will also be required to vacate their rooms upon suspension, termination, leave of absence, study interruption, withdrawal, completion of their studies, exchange programmes or any cases that result in inactive / part-time student status. You are required to check-out the hall within 3-day upon SRO email notification and extension of stay is not entertained.

Part 7 — Penalty Charges & Administrative Charges (if applicable)

  1. Penalty charges will be levied for late check-out/ improper check-out.
  2. Administrative charge ($300) will be charged separately for those special requested approved by Student Residence Office.

Part 8 — Highlights of Regulations Governing Student Residence

  1. Students should comply with the "Regulations and Rules" in particular abide by "Policies of Fees" for Undergraduate Students which may be updated from time to time.

 

Part 9 — Personal Information Collection Statement

  1. The personal data collected in this application form will be used by Student Residence Office to process Hall Admission. All personal data on the application form are regarded as mandatory for the aforementioned purposes.
  2. You have the right to request access to and correction of the information under the personal data (Privacy) Ordinance.
