  Guidelines of Summer Letting at Student Residence
  For the Organizer
 
1.

Application

 
1.1
The organizer should understand that the Student Residence Office reserves the right to reject an application without giving any reasons.
1.2
The organizer should not sublet the rooms reserved.
1.3 Application procedures:
  The Student Residence Office is responsible for the booking of rooms. Please download the application form and return the completed form to the Student Residence Office.
 
For non-CityU users, please submit 1 photocopy of valid Business Registration Certificate. In the event of non-possession of such, please submit with the application form other document(s) of evidence to verify the ntaure of your organization.
   
2. Liability
  The organizer:
 
2.1
must agree to abide by the "Guidelines of Summer Letting at Student Residence";
2.2
should settle the full payment in advance. All charges paid are non-refundable;
2.3
should ensure that its activities in Hall premises comply with all legal requirements;
2.4
must undertake the sole responsibility for the safety of its participants during the stay in the Student Residence. The facilities of the Halls are not childproof. The organizer should be cautious about the children staying in the Student Residence and be responsible for the supervision of their children at all times. Special approval is needed if participants are under 15 years old and the organizer needs to have adults to take care of them at a ratio of 5 under 15 years old to 1 adult. The University will not be responsible for any injury occurred;
2.5
must remind its participants to be responsible for the safekeeping of their own personal items. The University will not be responsible for any loss of or damage to any articles or things brought into the Hall by the visitors;
2.6
will be held responsible for paying the damage done to any furniture, facilities or equipment according to the price quoted by the Student Residence Office.
   
3. Assignment of a coordinator
 
The organizer is required to arrange one coordinator to reside in the Hall throughout the booking period and to be the ONLY contact person with the Student Residence Office (SRO). He/she should take responsibility of the following:
 
3.1
arrange arrival and departure of the participants;
3.2
responsible for check-in and check-out procedures for the participants;
3.3
dealing with participants' individual enquiries;
3.4
brief the participants the guidelines and remind them of any other important information;
3.5
arrange support services for participants, such as food, mailing, transportation etc.
   
4.
Check-in/ check-out procedures
 
The coordinator should be responsible for check-in and check-out procedures. The times for check-in and check-out are 2pm and 12noon respectively.
 
Check-in procedures
Upon your arrival, please come to Security Office (24 hours) located next to the main vehicle entrance of the Student Residence Office:
 
4.1
present the confirmation of booking for checking in;
4.2
verify and sign on the "Registration of Accommodation-Summer Letting" ;
4.3
collect Visitor Cards for all participants.
 
Check-out procedures
Upon your departure, please return ALL Visitor Cards in good condition to the Security Office. Each lost/damaged key will be charged (HK$100).
  Visitors will be charged half of a daily rate for late check-out after 12noon up to 6pm. Visitors who check-out after 6pm will be charged a full daily rate.
   
5. Room allocation
 
The coordinator is responsible for assigning rooms to the participants. He/ she is required to furnish a list of room allocation to the Student Residence Office and inform the Student Residence Office of any room change arranged for participants, so that participants can be located in case of emergency.
   
6. Payment
 
All payment has to be settled before or upon check-in-date.
 
Payment can be made at the Student Residence Office. It is open from 9:00am to 1:00pm and 2:00pm to 5:30pm on weekdays, from 9:00am to 12:00noon on Saturdays, except public holidays. Accepted mode of payment includes VISA, MasterCard, EPS and in local cash/cheque.
  For internal fund transfer, please specify the transfer payment on the application form.
  For non-CityU user(s):
 
For confirming of the booking, a non-refundable deposit equivalent to 50% of the total room charges is required. Payment by cheque or bank draft payable to "City University of Hong Kong" should be made one month before the check-in date. The remaining balance should be settled by cheque or bank draft upon the check-in date.
   
7. Cancellation of booking
 
Cancellation of booking will only be accepted in writing, and must reach the Student Residence Office at least 7 working days prior the confirmed check-in date.
  Cancellation and/or change of bookings made between 8 and 14 days (inclusive) before the confirmed check-in date: a sum equivalent to 30% of the costs of the entire reserved but unused period will be charged.
  Cancellation and/or change of booking made 7 days (inclusive) before the confirmed check-in date: a sum equivalent to 50% of the costs of the entire reserved but unused period will be charged.
  The Student Residence Office reserves the rights to cancel, postpone or alter arrangements for any booking if necessary.
   
8. Parking / drop-off / pick-up arrangements
 
8.1
No parking of vehicles in the Hall premises will be allowed without prior approval of the Student Residence Office.
8.2
For drop-off/ pick-up arrangements, completed information on the number of vehicle(s), vehicle registration numbers(s) and the arrival time must be reported in advance to Student Residence Office.
   
9. Typhoon and adverse weather condition
 
9.1
When Typhoon Warning Signal No. 3 is hoisted

Before check-in: the organizer should cancel/ postpone the event. A full refund of room charges will be arranged.
-
After check-in: the organizer should consider to stay or to leave immediately. For early departure, a refund can be made on a pro-rata basis. The organizer must undertake the sole responsibility for the safety of his/her participants during the stay in the Student Residence.
9.2
When a Typhoon Warning Signal Pre-No. 8 is hoisted
 
-
Before check-in: the organizer should cancel/ postpone the event. A full refund of room charges will be arranged.
-
After check-in: all activities should be terminated as soon as practicable. Local visitors should leave the Student Residence without delay under safe condition. For early departure, a refund can be made on a pro-rata basis.
9.3 Rainstorm Amber or Red Warning
 
-
Before/ after check-in: the organizer should monitor weather updates from Hong Kong Observatory.
9.4 Rainstorm Black Warning
 
-
Before check-in: booking will be cancelled immediately. A full refund of room charges will be arranged.
-
After check-in: all outdoor activities should be terminated as soon as practicable. All participants should stay indoors until the rainstorm warning has been cancelled and the traffic conditions have been improved. For early departure, a refund can be made on a pro-rata basis.
   
10. Violation of guidelines
  Student Residence Office reserves the right to terminate the short-stay arrangements immediately if:
 
10.1
the organizer changes the uses, contents and nature of the event to other than that originally stated in the approved application.
10.2
the organizer or his/her participant(s) fail to observe any of the "Guidelines of Summer Letting at Student Residence" or "Regulations Governing Student Residence".
   
11.
Student Residence Office reserves the right to revise these guidelines from time to time subject to operational needs without prior notice.
 
  For the Visitors
 
1.

Visitors should undertake the sole responsibility for their own safety during the stay in the Student Residence. The facilities of the Halls are not childproof. Visitors should be cautious about the children staying in the Student Residence. Visitors are required to take care of children under 15 years old at a ratio of 5 under 15 years old to 1 adult. 1.2
Visitors should be responsible for the safekeeping of their personal items. The University will not be responsible for any loss of or damage to any articles or things brought into the hall by the visitors.
   
2. Identification / Visitor Card
 
2.1
Visitors must carry valid Visitor Cards issued by the Student Residence Office during the stay in the Student Residence. The Student Residence Office reserves the right to check the card whenever necessary.
2.2
The Visitor Card is for access to the Hall and the room assigned. Please take good care of it. A fee will be levied for any replacement of lost/ damaged card. (HK$100)
   
3. Safety and Security
 
3.1
Visitors must comply with the rules concerning safety and security, refrain from behavior, which may pose a safety and health hazard or disturbance to others.
3.2
All accidents and irregularities should be reported immediately to the Security Counter, G/F of the Hall.
3.3
Only simple cooking is allowed in the Common Room on each floor. For safety reasons, any type of ignition giving rise to a naked flame is prohibited within the hall area.
   
4.
Consideration for Others
 
Visitors should be considerate towards other residents/ visitors and must refrain from conduct, which may cause disturbance or inconvenience to other residents/ visitors. The period between 11:00pm and 7:00am is regarded as quiet hours of the student residence. All visitors are reminded to support a peaceful environment.
   
5. Visitors
 
Residing visitors are not allowed to invite other visitors to the Hall without the prior approval from Student Residence Office. They are required to respect and observe the Regulations Governing Student Residence.
   
6. Smoke-free Environment
 
The University is a smoke-free campus. Smoking is prohibited in both indoor and outdoor areas of the Student Residence, including in bed-study rooms. Violation of the law could attract a fine of HK$5,000. Smoking is strictly forbidden in any part of the Student Residence.
   
7. Parking
 
Visitors are not allowed to park their vehicles in any part of the Hall premises without prior approval of the Student Residence Office.
   
8. Cleanliness
  Visitors should keep all parts of the Hall, including their own bed-study rooms, clean and tidy.
   
9. Hall Property
 
Visitors should keep all Hall facilities, furniture and equipment in good order. No furniture or equipment may be removed without prior approval from the Student Residence Office. Visitors must not interfere or tamper with existing fittings or fixtures of the Hall. Visitors will be required to compensate to the University for any loss or damage caused to Hall property.
   
10. Drugs
 
Any illegal and/or dangerous drugs as defined by government ordinance are not permitted to be brought into the Hall by visitors.
   
11. Gambling
  Gambling or betting in any form is not allowed.
   
12. Pets
  Birds, animals or pets are NOT allowed to be kept at or brought into the Hall.
