  4. Confirmation Fee
    Upon the announcement of allocation results, applicants are required to pay a non-refundable and non-transferable confirmation fee of HK$1000 before check-in to confirm their acceptance of offers. Payments can be made by:
    • using internet HSBC payment gateway;
    • using credit card/EPS at SRO.
  5. Hall Fees Collection
    • 5.1 For research students, hall charges are collected on a monthly basis by using bank-in slips or debiting from the student's personal bank account.
    • 5.2 The last month's hall charges for research students will be calculated as follows: residents have to pay one-half of the monthly charges if they check out at any time on or before 12 noon on the 16th day of the month, otherwise residents shall pay a full month's hall charge if they check out at any time after 12 noon on the 16th day of the month.
    • 5.3 Early withdrawal for research students
      If residents make an early withdrawal, they are required to submit written notification to Student Residence Office at least one month prior to their departure. Late notification will result in penalty up to one month's hall charges.
    • 5.4 For postgraduate students, hall charges are collected on a semester basis.
      Hall charges of postgraduate students will be collected and processed in a similar fashion as other student fees and charges, by:
      - incorporating into the regular fee statements (4 billing cycles per year) issued by the Finance Office.
    • 5.5 The hall charges will be charged from the first day of the residence period stated in the application form as the bedspaces have been reserved for successful applicants. Even with late arrivals, the rooms have to be left vacant and cannot be put into use by other students. Therefore, the applicants should be responsible for the payment of hall charges.
      All charges paid are non-refundable and non-transferable.
  6. Early Withdrawal
    • 6.1 For research students:
      If residents intend to check out earlier than the last date of stay originally approved by SRO, they are required to submit written notification of SRO at least one month before their new intended last date of stay. Sending the required written notification late will result in the payment of a penalty fee amounting up to one month's hall charges.
    • 6.2 For postgraduate students:
      Early withdrawal from student residence initiated by the student:
      • withdrawal within the second week of the relevant academic year: refund on a pro-rata daily rate basis for all the hall fees paid (except the confirmation fee which is non-refundable and non-transferable).
      • withdrawal after the second week of the relevant academic year: no refund.
      Early withdrawal from Student Residence initiated by the University e.g. due to violation of regulations, or expulsion from University on account of disciplinary and/or academic grounds: refund on a pro-rata daily rate basis.  
      All charges paid are non-refundable and non-transferable.
  7. Check Out upon Completion of Study / Termination of Study / Withdrawal of Study / Suspension from Study

    All residents are required to vacate their rooms immediately and check out upon termination or completion of study, withdrawal or suspension from study. Student are obliged to inform SRO of any change of their status early in advance.  

  8. Penalty Charges for Late Check-Out and Improper Check-out

    Penalty charges will be levied from residents who fail to check out their rooms upon the end of their approved period of stay, or upon their completion/termination of study, or withdrawal/suspension from study. Penalty charges will also be levied from the residents who fail to properly clean up their rooms or restore the furniture upon check-out. The exact penalty charges will be determined by the Student Residence Office in consultation with Finance Office.  

  9. Penalty Charges
    Late check out: $100/day/person
    $600/person for case security is packing as luggage and personal belongings.
    Improper check out: A minimum of $200/room
  10. Loss of / Damage to Resident Card / Key Card
    Resident Card (Cornwall Street) HK$100 per card
    Key Card (Jockey Club House) HK$50 per card
    Metal Key for the 1-Bedroom / 2-Bedroom Units
    in Jockey Club Harmony Hall
    HK$150 per key
    * The metal key of 1-Bedroom/2-Bedroom Units (Jockey Club Harmony Hall) is a very special key made in U.K. Replacement for the key costs @HK$150 and takes 2 weeks time.
  11. Late Payment

    The Student Handbook contains provisions which empower the University to terminate a student's study and/or to withhold his/her testimonials and academic transcripts and the conferment of awards on account of non-settlement of outstanding fees and charges which include hostel and associated charges.

    In line with the principle recently adopted by the Sub-Committee on Tuition Fees, penalties for over-due hostel and associated charges may be levied at about 2% of the amounts outstanding per billing cycle, to be billed together with other outstanding student fees and charges, if any.

  12. Damage to Hall Property

    Compensation to the University for damage caused to the student residence and property will be based on assessments by the Director of Student Residence Office in consultation with the Directors of Facilities Management and Finance, having regards to the cost of property repaired and replaced as appropriate.
