Room & Roommate Assignment

Successful applicants can indicate their hall, room type ( single/double/3-person Room (in 1-bedroom unit) ) and roommate preferences through AIMS upon their successful confirmation of their residence offers. In principle, all applicants will be assigned to double rooms if no preference is indicated.


Single Room

A limited number of single rooms is available for students who have medical or special reasons. Submission of documentary proofs together with the application is required.

Disabled single rooms may be assigned as single rooms if no request is received from a disabled student.


Double Rooms / 3-person Room (in 1-bedroom unit)

Before indicating a roommate preference, an applicant should ensure that the preferred roommate(s):

  1. has/have confirmed the offer acceptance of the student residence for the same housing period;
  2. is/are of the same gender;
  3. agree(s) to be paired up as roommate(s), and has/have indicated on his/her application form the other student(s) as the preferred roommate(s).

Unoccupied Bedspaces/Rooms

Accommodations are assigned on the principle of ensuring maximum design capacity. Unoccupied bedspaces or rooms will be reserved for incoming exchange/non-local students who may arrive late, emergency cases or other users.


General Principles for Room Assignment

Applicants' preferences of hall, room type and roommate will be considered as far as possible. However, there is no guarantee that you will be assigned to a particular hall, unit, room type, or with a specific roommate. Final room assignments will be subject to room availability and hall admission policies. Student Residence Office and the Residence Masters reserve the right to make alternative assignment decisions or re-assign students as appropriate.

No room assignment will be made if applicants fail to complete the application procedures properly or to confirm their offers.

1. Bed spaces will be allocated in accordance with:
- mix of gender (proportional to the gender of student population);
- student types
   
2. Bed spaces will first be reserved for new non-local/ incoming exchange successful applicants.
   
3. Bed spaces will be reserved for new local successful applicants.
   
4. Bed spaces will be allocated to the returning residents recommended by the Residence Masters.
   
5. Room assignment for current students
  Bed spaces will be allocated to current residents by the computer system: 
   
 
5.1 Returning residents recommended by Residence Master (RM) are assigned to the hall under respective hall specific returning scheme.
5.2 Hall preferences (1st and 2nd choices) indicated by confirmed applicants.
5.3 Preferred roommates should have indicated the same hall preferences on AIMS.

The consideration of indicated preferences depends on the number of bed spaces available in the hall in terms of:

 
- gender
- student types
5.5 When the hall preferences of confirmed applicants cannot be entertained, hall and room will be randomly assigned by the computer system.
5.6 Students who have not indicated their preference via AIMS or submitted a written indication of preferences by the deadline will be randomly assigned to a hall and a room by the computer system.
5.7 Hall residents via Student Athletes Admission Scheme (SAAS) will be randomly assigned to a hall and a room by the computer system.
   
6. Room assignment for new students
  Bed spaces will be allocated to new students after the successful applicants have completed the procedures of offer acceptance properly within the period as advised.
   
 
6.1 Within the designated offer acceptance period, successful applicants should pay a non-refundable and non-transferable confirmation fee to accept the offer of bed space.
6.2 Rooms will be assigned according to the principles mentioned in the paragraph 5.

Policies about Room Change/Swapping

1. Principles
 
1.1 Room assignment is for one housing year. In our residence community, residents are strongly encouraged to resolve their differences or conflicts with their roommates, flatmates or floormates by mutual respect, tolerance and communication. Therefore, residents are not allowed to change rooms during the housing year except by special request and with the approval of the Residence Masters.
1.2 Residents should check if their Halls or other halls have a specific set of policies on room change/swapping before application.
   
2. Application Procedures
  Residents should complete the application form for room change/swapping.
 
2.1 Intra-hall Room Swapping
 
2.1.1 Residents and their respective roommate/flatmates should sign as a mutual agreement on the application forms.
2.1.2 Residents should first contact their respective Residence Tutors for consultation and then secure the written recommendations of their Residence Tutors on the application forms.
2.1.3 Residents should submit the application forms to Residence Masters for approval.
2.1.4 Residence Masters will then send the signed application forms to the Student Residence Office (SRO) for follow-up actions.  
2.2 Inter-hall Room Swapping
 
2.2.1 Residents and their respective roommates should sign as a mutual agreement on the application forms.
2.2.2 Residents should submit the application forms to the Residence Tutors of the 2 respective halls for recommendations.
2.2.3 Residents should submit the application forms to the Residence Masters of the 2 respective halls for approval.
2.2.4 Residence Masters will then send the signed application forms to SRO for follow-up actions.  
2.3 Request of Single Room
  Residents should submit applications with supporting document (if any) to Residence Masters for consideration and approval.
   
3. Application Processing
 
3.1 Upon the receipt of the completed application forms, SRO will entertain the requests, subject to room availability.
3.2 Upon the receipt of the approved applications:
 
   
3.2.1 Room Swapping
 
- Residents will be informed to complete the necessary procedures at SRO within 3 working days.
- If residents fail to respond within these 3 working days, the applications will be cancelled automatically without prior notice.
 
3.2.2 Room Change
 
- Residents will be informed to collect keycard of the new room and to complete the room change within 3 working days.
- If residents fail to complete the check-out procedures within these 3 working days, the penalty of late check-out (HK$200/day/person + daily rate) will be levied.
