Room & Roommate Assignment

1. Room Type
 
There are different room types available in Jockey Club House (JCH) at Tat Chee Avenue, Hall 8 and 7-9th floor of Jockey Club Harmony Hall (Hall 7) on Cornwall Street. Please click Hall Facilities to know more about the layout of each hall.
   
2. Room Assignment
 
2.1 Successful applicants will be invited to indicate their preferences of hall, room type and roommates/flat-mates of the same gender with mutual agreement.
2.2 Rooms will be assigned by lottery. Residents are not allowed to change rooms unless request is made and duly approved by the Residence Master and Student Residence Office.
2.3 Applicants' indications of preferred roommates/flat-mates will be considered as far as possible. There is no guarantee that students with hall offers will be assigned to a particular unit, room type, or with specific flat-mates. Final room assignments will be subject to room availability and hall admission policies. Student Residence Office or the Residence Master reserves the right to make alternative assignment decisions or re-assign students as appropriate.
2.4 No room assignment will be made if applicants fail to complete application procedures properly or to confirm their offers.
2.5 Rooms are assigned on the principle of ensuring maximum design capacity. Unoccupied rooms will be reserved for emergency cases, incoming exchange students or other eligible students who may arrive late.
 
3. Policies about Room Change/Swapping
 
3.1 Principles
 
3.1.1 Room assignment is for one housing year. In our residence community, residents are strongly encouraged to resolve their differences or conflicts with their roommates, flat-mates or floor-mates by mutual respect, tolerance and communication. Therefore, residents are not allowed to change rooms during the housing year except by special request and with the approval of the Residence Masters.
3.1.2 Residents should check if their Halls or other halls have a specific set of policies on room change/swapping before application.
   
3.2 Application Procedures
  Residents should complete the application forms for room change/swapping.
 
3.2.1 Intra-hall Room Swapping
 
3.2.1.1 Residents and their respective roommates/flat-mates should sign as a mutual agreement on the application forms.
3.2.1.2 Residents should firstly contact their respective Residence Tutors for consultation and then secure the written recommendations of their Residence Tutors on the application forms.
3.2.1.3 Residents should submit the application forms to Residence Masters for approval.
3.2.1.4 Residence Masters will then send the signed application forms to the Student Residence Office (SRO) for follow-up actions.    
3.2.2 Inter-hall Room Swapping
 
3.2.2.1 Residents and their respective roommates should sign as a mutual agreement on the application forms.
3.2.2.2 Residents should submit the application forms to the Residence Tutors of the 2 respective halls for recommendations.
3.2.2.3 Residents should submit the application forms to the Residence Masters of the 2 respective halls for approval.
3.2.2.4 Residence Masters will then send the signed application forms to SRO for follow-up actions.  
3.2.3 Request of Single Room
  Residents should submit applications with supporting document (if any) to Residence Masters for consideration and approval.
3.2.4 Intra-hall / Inter-hall Room Change
 
3.2.4.1 Intra-hall Room Change
Requests will not be entertained under normal circumstances. Special cases will be considered and approved by the Residence Masters.
3.2.4.2 Inter-hall Room Change
Residents should submit applications with supporting documents (if any) to SRO for consideration and approval.
3.3 Application Processing
 
3.3.1 Upon the receipt of the completed application forms, SRO will entertain the requests, subject to room availability.
3.3.2 Upon the receipt of the approved applications:
 
3.3.2.1 Room Swapping
 
- Residents will be informed to complete the necessary procedures at SRO within 3 working days.
- If residents fail to respond within these 3 working days, the applications will be cancelled automatically without prior notice.
3.3.2.2 Room Change

Residents will be informed to collect keycard of the new room and to complete the room change within 3 working days.

If residents fail to complete the check-out procedures within 3 working days, the penalty of late check-out ($200/day/person + daily rate) will be levied.
