Allocation Criteria and Scoring System for PG Halls
- Eligibility
- 1.1 The following student groups are eligible to apply for the Postgraduate Halls:
- 1.1.1 Full-time non-local research students of UGC-funded programmes (including part-full non-local research students)
- 1.1.2 Full-time incoming postgraduate exchange students (with established agreements on student exchange with the university)
- 1.1.3 Full-time non-local taught postgraduate students of UGC-funded programmes
- 1.1.4 Full-time local research students of UGC-funded programmes (including part-full local research students)
- 1.2 Priority will be given to eligible research students who are studying within their normal study period (in-time students). Applications from students who have applied for extension of study (out-time students) will be put on pending until all eligible applications have been processed and cleared. Late offers will be made subject to availability of bed spaces. A surcharge of an additional 25 % will be levied on "out-time" full-time students, while an additional 35% will be levied for those who switch to part-time status holding full time employment with the university.
- 1.3 If bed spaces are still available after all applications from the eligible groups have been accepted, applications will be invited and/or accepted from other postgraduate students and research staff. For students who have extenuating circumstances (for example, serious family problems), their cases can be referred by the Student Residence Office to counselor for assessment and recommendation. A surcharge will be levied on students of non-UGC-funded programmes (an additional 25%) and research staff (an additional 35%).
- Allocation Procedures / Processes
- 2.1 All applications received from eligible students will be assessed by the Student Residence Office according to the priority order as stated in paragraph 1.1.
- 2.2 All applications received in the higher priority level will be considered first before going to the applications of the following priority levels.
- 2.3 Bed spaces will be reserved for the research students admitted through the “Chow Yei Ching School of Graduate Studies Entrance Scholarships” upon receipt of the application before the deadline specified by the Student Residence Office. There is no guarantee that bed spaces will be granted to late applicants. There will be around 20 awards to be given each year.
- 2.4 Incoming exchange students who wish to apply for Student Residence should submit hall application before the deadline specified by Student Residence Office. Upon receipt of applications, bed spaces will be reserved for the exchange students. There is no guarantee that bed spaces can be granted to late applicants. The period of stay will be confined to the exchange term as agreed by City University of Hong Kong and the home university. Students who wish to apply for an extension of exchange study must re-apply for Student Residence before the deadline specified for the respective term. There is no guarantee that bed spaces will be granted to the students.
- 2.5 The remaining bedspaces will be allocated to eligible local students based on the scoring system as outlined in paragraph 5. Lot drawing will be used for applicants who have the same scores within the same priority level.
- Applications from Married Couples
- 3.1 The limited number of units can be allocated to married couples. Married student couples must provide marriage certificates when applying for such units.
- 3.2 Subject to priority order and room availability, units will be allocated to married couples according to the following:
- 3.2.1 Both parties are CityU students
- 3.2.2 A CityU student with his / her spouse who is a CityU research staff
- 3.3 The hall charges are calculated depending on the unit size and the status of applicant
- 3.4 The units do not provide appropriate accommodation for married couples with dependent child / children
- Period of Stay
- 4.1 The period of stay will be decided by the Student Residence Office and will be subject to review in case of changes in student status, study program and/or other circumstances.
- 4.2 The period of stay for research students will normally be granted for a year with the exact dates and duration announced by Student Residence Office. Students upon completion of their normal study period will be required to move out of the residence before the end date of normal study period.
- 4.3 The period of study for other research or postgraduate students, visiting student, "out-time" students and research staff will normally be a shorter period of time and may vary from case to case. The renewal is subject to allocation policies and room availability.
- 4.4 Residents are required to inform Student Residence Office and move out of the hall upon completion of normal period, completion of studies, interruption of study, termination, withdrawal or suspension from study.
