I.   Regulations governing the use of Student Activities Venues

1. Eligible Users

All student activities venues are primarily for use by students of the City University of Hong Kong. Staff of City University of Hong Kong may book the venues for organizing university functions. icon0018.gif (101 bytes)

2. Booking Policy

On-line booking of Multi-purpose Rooms and Meeting Rooms is made through the Venue and Classroom Booking on the CityU e-portal. Under <FACILITIES BOOKING> of <Univ. Services>, click on <Venue and Classroom Booking>

Prior booking of other student activities venues (Music Rooms, Band Room, Audio Room and Dark Room) should be made through the SDS Student Activity Venues Booking on the CityU e-portal. Under <FACILITIES BOOKING> of <Univ. Services>, click on <SDS Student Activity Equipment Booking> .Users should not transfer the booking to other university members or outsiders, and will be held responsible for the venue throughout the entire reserved period.

On-line Booking Policy for Student Activity Venues (SDS Student Activity Venues Booking)

a)    Booking is available online via the SDS Student Activity Venue Booking.  Users may also delete or view their
       reservations online via the same system.

All available time slots are reserved on a first-come-first served basis.

c)
   
You can reserve a time slot thirty days in advance.

d)
   
Each reserved session is one hour long. All sessions start at the half-hour, e.g. 09:30, 19:30.

e)
   
The total number of time slots that can be reserved is limited to four hours per three days.

f)
    
Each user will be given an annual reservation allotment of 450 hours.

g)
   
Reservation system access will be denied if your Electronic ID has expired.

h)
   
A reserved time slot cannot be transferred among students.

i)
    
Booking hours are from 09:30 to 21:30 every day.

If you reserve a timeslot, you must show up within the first 10 minutes. Otherwise, the reservation will
       automatically become invalid. The venue will be released to another user on a first-come-first-served basis
       and you will not be able to reclaim the reserved timeslot.

Users may also access the System through CityU e-Portal. Under <FACILITIES BOOKING> of
       <Univ. Services>, click on <
SDS Student Activity Venue Booking>.

SDS reserves the right to arrange room swapping when need arises.

3.  Rental  

Bookings for non-University or external activities will be subjected to SDS's approval and hiring charges.  Please contact SDS at 3442 8012 or email to sormbook@cityu.edu.hk for details.

4. Furniture and Equipment

All furniture and equipment must not be misused or moved without permission. Any damage or disorder should be reported to Student Development Services.  In case of misuse or loss, users will be liable for the total cost incurred for repair or replacement. Users who wish to borrow additional furniture/equipment for use in their activities should make separate prior booking through the SDS Student Activity Equipment Booking . icon0018.gif (101 bytes)Under <FACILITIES BOOKING> of <Univ. 5. Cleanliness

Users should keep Student Activities Venues clean and tidy. The facility must be reinstated immediately after use. icon0018.gif (101 bytes)

6. Smoking

Smoking is prohibited at all student activities venues. icon0018.gif (101 bytes)

7. Barbecue

Barbecue is strictly prohibited icon0018.gif (101 bytes)

8. Gambling

Gambling or betting in any form is not allowed. icon0018.gif (101 bytes)

9. Alcoholic Drinks

The consumption of alcoholic drinks is normally not allowed. Users who wish to serve alcoholic drinks in their functions to be held in student activities venues, should obtain written permission from Student Development Services.icon0018.gif (101 bytes)

10. Sales or Fund-raising Activities

Any use of student activities venues for sales or fund-raising activities should obtain the prior approval of Student Development Services. Users are not allowed to charge suppliers/external organizations any rental fees for using the venues for sale or fund raising activities. icon0018.gif (101 bytes)

11.Opening Hours

Users should observe the opening hours of student activities venues. Any use of the venues at other times must have prior permission from Student Development Services.icon0018.gif (101 bytes)

12. Use

Users must use the student activities venues only for purposes for which they are specifically provided Room usage shall not involve any commercial value, profit-related nature and/or personal use.icon0018.gif (101 bytes)

13. Adverse Weather Conditions

Booking will be cancelled immediately if Rainstorm Black Warning, Pre-No. 8 Typhoon Warning Signal or above is hoisted. All activities should be terminated as soon as practicable.  icon0018.gif (101 bytes)

14. Misbehaviour

Users who fail to observe the aforesaid regulations and/or specific regulations for use of certain venues (if any) may be debarred from using the venues and/or borrowing furniture/equipment. The misbehaviour may also be reported to authorities concerned for appropriate disciplinary action. icon0018.gif (101 bytes)


II  Regulations for the use of Multi-Purpose Rooms and Meeting Rooms

1.     Eligible Users

         Registered student societies of City University of Hong Kong may book Multi-Purpose Rooms and
       Meeting Rooms for organizing student activities.  CityU staff may also book the venues for
       organizing university functions.

2.    Booking

       On-line booking is made through the Venue and Classroom Booking on the e-portal.
       On-the-day booking is
NOT available.  Student societies and staff can book the venues 3 months in advance.icon0018.gif (101 bytes)


       User should also comply with the Online Booking Rules and Regulations of Campus Development and Facilities
       Office (CDFO).

3.    Special Request

        For any special request such as on-the-day booking, advance booking exceeding the entitled
       period and multiple/block booking for special functions, applicant is required to send the request to
       SDS via e-mail ( sormbook@cityu.edu.hk ) or contact SDS counter during office hours.

4.    Non-university Activities

        On-line booking of the venues is provided for university activities only.  For non-university
       activities, on-line request will be sent to SDS and confirmation of booking will be subject to SDS's
       approval and hiring charges.

5.    Cancellation

        Users can make on-line cancellation for bookings made by themselves or their student societies
       (except on-the-day booking).  Please contact SDS or send e-mail to sormbook@cityu.edu.hk for 
       cancellation of current date and other bookings.

6.    Work Request to CDFO

        Work request for services that is submitted on-line through the booking system is subject to the 
       confirmation by CDFO.

III . Regulations for the use of Music/ Band Rooms/ Audio-visual Room

1. Eligible Users

Students of the City University of Hong Kong may make use of the Music/Band Rooms for music activities or band practice. Music Room 4 may also be used for activities related to dances and drama practice. The Audio-visual room is for DVD show, TV watching and playing electronic games.icon0018.gif (101 bytes)

2. Booking

Prior booking should be made through the SDS Student Activity Venues Booking on CityU e-portal

3. Use of Music Rooms/Band Rooms/Audio-visual Room

  1. User should approach the Service Counter for Student Facilities & Equipment (7/F, Amenities Building) with his/her student I.D. card and report to the Counter after using the Music/Band Rooms.
  2. User should not transfer the booking/usage to other university members or outsiders.
  3. User should NOT bring along any external user without prior permission.
  4. User should NOT make use of the Music/Band Rooms for private teaching of musical instruments.
  5. Student society using the Music/Band Rooms for organizing courses should obtain prior permission from SDS.
  6. User should not move the musical instruments in Music/Band Rooms without prior permission.
  7. User should not leave the room unattended at any time during the booked period.
  8. Any damage of musical instruments, furniture or fixtures in the rooms should be reported to SDS at once. In case of misuse or negligence, user will be held responsible for the total cost incurred for repair or replacement.
  9. User should study the operation instructions before using the equipment, keep the volume down and switch the equipment off after using the equipment in Audo-visual Room.
  10. Gambling in any form is NOT allowed when playing games in the Audio-visual Room.
  11. Electronic games which contain any violent, obscene or obnoxious elements, are prohibited in Audio-visual Room. icon0018.gif (101 bytes)

IV. Regulations for the use of Dark Room

1. Eligible Users

Students of the City University of Hong Kong having obtained the Dark Room User Cards issued by SDS are eligible to book the Dark Room for use.icon0018.gif (101 bytes)

2. Booking

Prior booking should be made through the SDS Student Activity Venues Booking on CityU e-portal.

3. Use of Dark Room

  1. User should approach the Service Counter for Student Facilities & Equipment (7/F, Amenities Building) with his/her student I.D. card and dark room user card and report to the Counter after using the Dark Room.icon0018.gif (101 bytes)

  2. User should not transfer the booking/usage to other university members or outsiders.

  3. User can bring along a maximum of 2 CityU students and should be responsible for their conduct when using the Dark Room.

  4. Student society using the Dark Room for organizing courses should obtain prior permission from SDS.

  5. SDS staff may conduct inspection when necessary.

  6. User should read all the manuals / instructions before using the Dark Room equipment and the equipment should be handled with great care.

  7. All electrical appliances should be kept away from water and switched off when not in use.

  8. User should consider bringing protective items such as rubber gloves, apron or laboratory gown if necessary.

  9. In order to protect environment, user should pour all chemical wastes into the labelled containers in the Dark Room.

  10. User should have label issued by SDS stuck on container storing chemicals placed inside the Dark Room.

  11. User should not leave the room unattended at any time during the entire booked period.

  12. Any damage / disorder of equipment, furniture or fixtures in the room should be reported to SDS at once. In case of misuse or negligence, user will be held responsible for the total cost incurred for repair or replacement.

  13. User should restore all equipment to their proper positions and clean up thoroughly. No accessory is allowed to be taken away.

4.   User should also comply with the On-line Booking Policy for Student Activity Venues and the

V. Regulations governing the Use of Equipment & Furniture

1. Eligible Users

Registered student societies of the City University of Hong Kong may borrow equipment and furniture provided by SDS for organizing student activities. Staff borrowing equipment and furniture for organizing university functions will be subject to SDS's approval.icon0018.gif (101 bytes)

2. Booking

Prior booking should be made through the SDS Student Activity Equipment Booking  on SDS homepage or on the Express Terminals on campus.icon0018.gif (101 bytes)

3. Use of Equipment & Furniture

  1. Collection and return of items should be made at the Service Counter for Student Facilities & Equipment (7/F, Amenities Building).

  2. Time for check-in and check-out is Monday to Saturday 9:00 - 20:30.

  3. User should not transfer the booking or any borrowed item to others.

  4. User should return all borrowed items on or before the due date.

  5. Any damage / malfunction of equipment and furniture should be reported to SDS at once. In case of misuse or loss, user will be held responsible for the total cost incurred for repair or replacement.

  6. For display boards, user should remove all publicity materials and tapes immediately at the expiry of the booked period. SDS will not be responsible for the safekeeping of any publicity materials.

  7. User who has lost/damaged or fails to return any borrowed items would be debarred from borrowing equipment/furniture and/or using Student Activities Venues. User's eligibility will be resumed when all borrowed/lost/damaged items have been returned/replaced/repaired respectively. icon0018.gif (101 bytes)
