Class Scheduling


Class scheduling

Some important guiding principles:

  • All classes should take place as scheduled and be taught by the scheduled teacher.
  • Most of the classes are scheduled in Weeks 1-12.
  • Some classes, which are affected by public holidays, are scheduled into post Week 12.

    In a normal semester, therefore, if your classes are not affected by public holidays, you should finish teaching by Saturday of Week 12. If your classes are affected ONLY by public holidays you should finish teaching by Saturday of Week 13.

    There are four instances in which you may need to reschedule your class(es):

1. Sickness / Compassionate Leave

As soon as you realise you are unable to teach a class for either of the above reasons, phone Odilia; or G.O. or the SAC outside of normal office hours. Leave a message, but keep phoning until you actually speak with someone, preferably Odilia. You can select one of the following rescheduling options:

A. You want to have a part-time teacher substitute for you.

  • Call Odilia and ask her to help you find a substitute teacher. Being able to find one, of course, depends on when you make the call and the availability of part-timers. If a substitute is available to teach your class, you must leave instructions for him/her as to what should be done. This can be done through Odilia.
  • You will not have to do a make-up class.
  • If a substitute cannot be found, the class will be cancelled. (See Option C.)

    B. You want to have your buddy substitute for you.

  • Call your substitute “buddy" and ask him/her to teach the class.
  • Call Odilia to inform her of your decision.
  • On your return to work, inform Addy so that she can add the number of hours substituted to your buddy’s annual workload.

    C. You want to have the class cancelled.

  • Call Odilia.
  • A class cancellation notice will be posted on the classroom door.
  • Reschedule the class when you return to work.
  • You will be credited additional hours for substituting for yourself. Inform Addy so that she can add the number of hours rescheduled to your annual workload.
  • The majority of teachers choose Option C. However, if you feel that you may be absent for more than one day, you are strongly advised to use Options A or B so as to limit the number of make-up classes you have to do when you return to work.

2. Conference attendance

If you are planning to take conference leave during a teaching period, you can select one of the following options:

A

You want to have your buddy substitute for you.

*Let Odilia Chung know as early as possible on 2788 8197 or via email.

* Inform your substitute “buddy" and tell him/her to teach the class.
* Unlike sickness, buddies will not get credited with hours.

B

You want to have the class cancelled.

* Inform your students and reschedule a class with them as early as possible.
* Unlike sickness, you will not get credited with additional hours.

 

3. Holidays

In order to allow teaching staff to make the most flexible use of leave, blanket permission is given to reschedule classes on certain earmarked days, i.e. University non-teaching days and the days which flank them. Teaching days which can be re-scheduled are published in the ELC Academic Calendar, as are the deadline dates for advising G.O. that you intend to re-schedule.

4. Bad weather

These classes are automatically cancelled. Please, however, make a note of this in your attendance register as it will be taken into consideration during moderation.
These classes are NOT made-up.
