Some Useful Advice for E-mail Users

No matter which e-mail system you are using, please note the following so as to keep your mailbox happy and healthy.

Change password once in a while, say every two months, to safeguard your mailbox against intruders. Remember your password by heart without writing it down on little slips of paper. When picking a password, avoid your name, your sweetheart’s name, phone number, birthdays, etc., that people can relate and guess easily.

Remember to logout properly from the mail system to avoid its being misused intentionally or unintentionally by others.

Check mail everyday, if not, at least every other day to clear your incoming mail.

Delete/purge unwanted mail to free up disk space. If you must keep some mail permanently, download it to your hard disk or floppy.

Check available free disk space on mail server, that is the VAXs or the SUNs, to ensure enough space for incoming mail. It will be wise to spare 10% - 15% of your disk quota for incoming mail, or you might experience difficulties in receiving new mail and even retrieving old mail.

No nonsense, such as routing of chain letters, broadcasting indecent and category III materials, etc.

Refrain from sending huge mail (8MB or more, such as software packages, manual documentation, etc.) to avoid traffic congestion or infringement of copyright.

Avoid sending mail with long mailing list
Should there be a need to send e-mail to a large group of people, please try the following:

  1. Split the long mailing list into two or more shorter lists so that the addresses contained in each are around 100.

  2. Send e-mail with long mailing lists during non-peak hours, say lunchtime or after 5:30 p.m.

For help, users can make use of the systems’ on-line help or refer to the user’s guides which are on sale at the University Computer Shop. As there is a variety of PC-based mailing systems, either proprietary or freeware, you should refer to the appropriate references that come with your systems.
