Frequently Asked Question for Office 365 ProPlus

To support the academic, research and administrative use for staff, all regular staff can install and use the latest versions of the Microsoft Office software under Office 365 ProPlus via the University's Enrollment for Education Solutions with Microsoft. This allows each regular staff free installation of MS Office software on up to a maximum of five PCs or Macs owned and used by staff for their work during their employment at the University. Staff can also run Office Mobile for Android or Office Mobile for iPhone on up to 5 mobile devices. Staff must read the information on the “Office 365 ProPlus for Staff” website, including their responsibilities on the compliance to the proper and legal use of the software of Office 365 ProPlus, below.

Staff who have installed the Microsoft Office software by using the earlier Microsoft Office installation disks are also eligible for Office 365 ProPlus. They need to uninstall their Microsoft Office software obtained via the installation disk first, and then install the software again via the Office 365 ProPlus.

Important: By installing any of the MS Office software in Office 365 ProPlus, a staff member has agreed to comply with the proper and legal use of the software of Office 365 ProPlus and is liable for any improper and illegal use of the software.

  1. What is Office 365 ProPlus?

  2. Office 365 ProPlus includes the following Microsoft software: Word, PowerPoint, Excel, Outlook, OneNote, Publisher, Access, and Skype for Business.

  3. How can I tell whether I am eligible for Office 365 ProPlus?

    All regular staff of the University are eligible for the Office 365 ProPlus.

    A staff's eligibility to Office 365 ProPlus terminates upon his/her departure from the University, i.e. when he/she is no longer a regular staff of the University, and is then responsible for uninstalling all MS Office software obtained via Office 365 ProPlus from his/her PCs/Macs/mobile devices.

  4. Can I request for additional Office 365 ProPlus with proper justifications?

    As bounded by the license agreement between the Microsoft and the University, the Office 365 ProPlus is valid only for regular staff. However, with sound justifications and the support of the staff's department, staff/departments can write to the CSC for special consideration for using additional Office 365 ProPlus or for other alternatives as endorsed by the University senior management, which may require department to pay for the additional Office 365 ProPlus.

  5. Is the Office 365 ProPlus free of charge?

    The right to use the license is free and each eligible staff is entitled to Office 365 ProPlus as long as the University is still subscribing to the Office 365 ProPlus via the University's Enrollment for Education Solutions with Microsoft, which the University will review annually/periodically.

  6. How long will the University still subscribe to the Office 365 ProPlus?

    The subscription to the Office 365 ProPlus via the University's Enrollment for Education Solutions with Microsoft will be reviewed annually/periodically, and the University will consider whether or not to continue the subscription or adopt other subscription model.

    Should the subscription to Office 365 ProPlus via the University's Enrollment for Education Solutions with Microsoft be discontinued/altered, staff who have installed MS Office software obtained via Office 365 ProPlus will have to comply with the changes which may require the uninstallation of all/some MS Office software from their PCs/Macs/mobile devices.

  7. How many installation times will be allowed?

    Under MS Office ProPlus each regular staff is allowed free installation of MS Office software on up to a maximum of 5 PCs or Macs owned and used by the staff for work related activities. The staff can also run Office Mobile for Android or Office Mobile for iPhone on up to 5 mobile devices. Staff who want to install the software/app for more than 5 times can deactivate their unused installation.

  8. How long can I keep my license for Office 365 ProPlus?

    Staff must at least connect to the Internet once every 30 days for the Microsoft to verify that he/she is still eligible for the program. A staff who is no longer a regular staff will lose his/her license shortly. When the license expires, staff retains read-only access to his/her Microsoft Office files.

  9. Can I share the license with other family members?

    No, the products are licensed solely for staff and for work related activities. The license is not transferable, and it must not be shared with anyone, not even another CityU staff.

  10. I am a regular staff and a current student, how is Office ProPlus arranged?

    Under the University's Enrollment for Education Solutions with Microsoft, current students are also eligible to Office ProPlus to support their studies. A staff who is also a student at the same time is therefore eligible to two Office ProPlus to support their studies and work in their respective role; however, the Office ProPlus for their respective role will expire as his/her role (staff, student) expires. Therefore, a person with dual roles should be mindful on which Office ProPlus he/she has installed on his/her devices and uninstall them as the respective role becomes invalid, e.g. graduation, or no longer a staff.

  11. Does the software provide in the Office 365 ProPlus support Windows OS language platforms other than English?

    Staff can choose to install various language versions of Microsoft Office through their University Office 365 accounts.

  12. What Operating Systems does the Office 365 ProPlus support?

    The Office 365 ProPlus consists of:
    • Office 365 ProPlus for PC
    • Office 365 ProPlus for Mac
    • Office Mobile for Windows Phone
    • Office Mobile for iPhone
    • Office Mobile for Android, etc.
    Staff can select Windows, Macintosh and versions for mobile devices. Please note that you need to have the respective PCs/Macs/mobile devices for installing the respective versions, e.g. a Macintosh machine to install the Macintosh version of MS Office software.
